Convert eBird Checklists and Trip Reports to Christmas Bird Count Tally Sheet

This tool converts one or more eBird checklists or trip reports to an Excel spreadsheet matching the tally sheet for the selected count.

To use this tool, follow these steps:
  1. Select your count from the Count menu.

  2. Enter your sector, area number and party numbers in the appropriate fields.

  3. Paste one or more eBird checklist or trip report URLs into the Checklists box, putting them on separate lines or separating them with commas. Checklist/Trip Report URLs can be obtained by displaying the checklist/trip report in your browser and copying the URL from the browser's address bar. You can specify up to 10 checklist or trip report URLs. Here is an example of an eBird checklist URL:

    eBird counts of "x" are ignored. Species on eBird checklists that are not on the tally sheet will be added under "Additional Species" or "Other Species," or at the end of the tally sheet.

  4. Click the Download Tally Sheet button to download a tally sheet for your count with the species totals from your eBird checklists.

  5. Review the downloaded tally sheet for accuracy.

Multiple Checklist Options

When specifying multiple checklists or a trip report, you can choose whether to produce a tally in which all of the checklists are summed in one column, or each of the checklists are represented in separate columns with a grand total column at the end.

To choose separate columns per checklist, enable the Separate columns for each checklist checkbox.

When producing separate columns per checklist, you can choose how the grand total column is written. The Constants option produces numeric constants in the grand totals column. The Formulas option produces a formula that sums each of the checklist columns.

The advantage of choosing the Formulas option is that you can then edit the checklists in Excel, and your changes will automatically propagate to the grand total column. The disadvantage is that copying and pasting the grand totals column into another spreadsheet is slightly more complicated. You will typically want to paste using Excel's Paste Special menu item and clicking the Values button in the Paste section of the resulting dialog. Otherwise, you will probably get a "#REF!" error.

Other Buttons

Display Tally as CVS displays the populated tally comma-separated values. Each line represents a row in the tally sheet. The values of each cell are separated by commas. It can be useful to examine these results before downloading a tally sheet.

Display Tally Properties displays properties of the tally sheet, including subspecies detected in the tally sheet and pseudonyms used in the tally sheet (species names that are mapped to their eBird equivalent).
